Job Overview:

The Mum Club is seeking an experienced and detail-oriented HR, Quality Control & Franchise Contract Coordinator to manage HR responsibilities for the HQ team, ensure franchisees adhere to brand standards, and oversee all franchise contracts. This multifaceted role is critical to maintaining the professionalism, consistency, and legal integrity of our franchise model while supporting a thriving HQ team.

Key Responsibilities:

• Oversee HR operations for the HQ team, including onboarding, contracts, and performance management and managing Breathe HR system.

• Maintain accurate HR records and ensure compliance with employment laws and company policies.

• Serve as the first point of contact for HQ staff HR-related inquiries, offering guidance and support.

• Work with management to implement team development initiatives and training opportunities.

• Ensure all employee handbooks and policies are current and communicated effectively.

Franchise Contract Management

• Manage and oversee all franchise contracts, ensuring terms are met and compliance is maintained.

• Draft, review, and renew franchise contracts, ensuring all documentation is accurate and legally sound.

• Liaise with the legal team to address contractual disputes, terminations, renewals, sales, or amendments.

• Educate franchisees on their contractual obligations and provide ongoing support regarding terms.

• Maintain an organized system for tracking contract deadlines and updates.

Quality Control Responsibilities

• Monitor franchisee compliance with The Mum Club’s operational and social media manuals.

• Audit franchisee social media accounts and other outputs to ensure alignment with brand standards.

• Provide feedback and guidance to franchisees on areas for improvement.

• Collaborate with the Franchise Coordinator to address and resolve compliance issues.

• Regularly review and update manuals to reflect current best practices and brand guidelines.

Other Duties

• Support franchisees in understanding and implementing key processes outlined in their manuals.

• Provide regular reports to HQ management on franchisee compliance, contract status, and HR performance.

Qualifications

• Previous experience in HR, contract management, or quality control.

• Strong organisational and time-management skills with the ability to handle multiple responsibilities.

• Excellent attention to detail and ability to maintain accurate records.

• Exceptional communication and interpersonal skills to engage with franchisees and HQ staff.

• Self-motivated, proactive, and able to work independently.

• Familiarity with franchise operations or small business management is a plus.
